Controlling document deletion is essential for maintaining the security and integrity of your solution, but removing documents that are no longer needed is equally important for keeping your repository organized and reducing unnecessary risk. Retaining documents beyond their required lifespan can increase storage costs, complicate searches, and expose your organization to unnecessary legal or compliance risks.
With workflows, users can flag documents for deletion without immediately removing them. This initiates a retention period during which a privileged user can review and approve the deletion, or the document can be deleted automatically after a specified amount of time has elapsed.
In this lesson, you will learn how to:
- Modify an existing archive by adding the index fields required to support document deletion and retention workflows.
- Configure a dedicated Recycle Bin archive to securely store documents pending deletion.
- Design and construct a workflow that identifies and routes flagged documents to the Recycle Bin archive.
- Create, design, and evaluate a workflow that manages recycled documents by applying retention policies, enabling privileged review, or automating permanent deletion based on organizational requirements.
